Unique Permissions  

Sharepoint Permissions

This report lists all the items that have unique permissions applied to them. If an item does not have unique permissions applied to it, it will inherit the permissions from the item it is contained within. A file inherits permissions from the folder it is in. A folder inherits permissions from the document library that contains it. A document library inherits permissions from the site it resides in. A site inherits its permissions from the site collection that contains it. If an item is not listed in this report then it has no unique permissions and inherits its permission as aforementioned. Items present in your Site collection with unique permissions are listed below

Site Collection

Site collection with unique permissions detected

A Site Collection will always be present in the report as it always has unique permissions set. The site collection contains all the sites beneath it which will automatically inherit permissions from the site collection if they are not set independently

Site

Site(s) with unique permissions detected

This is a website that contains different SharePoint Web Parts like; Document Library, Calendar, Task List, etc. SharePoint sites can have 1 or more pages to display content to the user. Items in the site such as document libraries automatically inherit permissions from the site if they are not set independently. It is expected that a site will have unique permissions. Check the main report tab for more information.

List or Library

At least one List or Library with unique permissions detected

This is a sharepoint list or document library containing items of data or files. Items in the list or Library, such as documents, automatically inherit permissions from the list or library if they are not set independently. It is commonplace for a List, and particularly a Document Library, to have unique permissions. Check the main report tab for more information.

Folder

Folder(s) with unique permissions detected

This is a folder in a library containing files. Files in the folder, such as documents, automatically inherit permissions from the library if they are not set independently. It is less common for a folder to have unique permissions set. If you are setting unique permissions on a folder this should be adequately documented, restricted to top level folders where possible, and not used extensively. A sharepoint site where many folders have unique permissions is incredibly difficult to manage. Check the main report tab for more information.

File

Files(s) with unique permissions detected

This is a file in a library or folder. Files automatically inherit permissions from the folder they are contained within, if they are not set independently. It is not recommended to set unique permissions at the file level! If you must set unique permissions on a file this should be adequately documented and kept to a bare minimum. A sharepoint site where many files have unique permissions is incredibly difficult to manage, and potentially very insecure. Check the main report tab for more information.

List item

All List items inherit permission from the library

This is an item in a sharepoint list. Items in a list automatically inherit permissions from the library if they are not set independently. It is less common for a list item to have unique permissions set. If possible this should be avoided! If you are setting unique permissions on a list item this should be adequately documented and not used extensively. A sharepoint site where many list items have unique permissions is incredibly difficult to manage.

Sharing Links

Sharing links that give access to item(s) detected

One or more sharing links are present, or have previously been present and not removed, on an item in your sharepoint site. These links indicate potential external access to this item. The permissions should be investigated : 1. Visit the location in sharepoint so the item is visible 2. select but don't open the item 3. view the details for the item and then select 'Manage Access'. 4. if not required, 'Stop Sharing' or remove the particular access if it is visible.
Explanation of terms used in the report

Site CollectionA site collection is a group of websites that have the same owner and share administrative settings.
SiteThis is a website that contains different SharePoint Web Parts like; Document Library, Calendar, Task List, etc. SharePoint sites can have 1 or more pages to display content to the user.
ListA SharePoint list is a container for information, similar to a very simple database or spreadsheet. Using a list is the most common way to manage information in a SharePoint site. In a list, data is gathered in rows, and each row is known as a list item. A list can have multiple columns, also known as properties, fields, or metadata. So a list item is a row with data in those columns.
LibraryA library is a location on a site where you can upload, create, update, and collaborate on files with team members. Think of a 'document library' as a filing cabinet with folders inside
FolderCreating a folder in a SharePoint document library is one way to group and manage files.
FileAn individual item such as a document, image, spreadsheet etc that is saved into a document library
List itemAn individual entry / row in a sharepoint list.
Sharing linksA link that has been applied to a sharepoint item, usually by an individual, that gives named and/or anonymous users permission to access the item by following the link
URLThe full path to the item in sharepoint as it is displayed in a web browser
